How to enter

Step 1

The entry fee is R2 400 per publication (no VAT applies). Should your company wish to enter more than one publication, this entry fee will drop by R200 per publication, up to five different publications per company. For example: If your company enters three publications the fee structure will be:

* Publication 1: R2 600
* Publication 2: R2 400
* Publication 3: R2 200, etc.

You can enter as many publications as you like. The entry fee for the fifth publication, R1 600, will apply for all publications after the fifth entry.

Step 2

Please complete the entry form and e-mail (or fax) the completed form to the contact address provided so that your entry can be registered. Organise payment because no entries will be judged if payment has not been received. Payments can be made by cheque or can be transferred electronically. You will receive an invoice and a receipt of payment.

Step 3

Select the publications you wish to enter according to judging criteria. For example: You can choose your April edition for writing, your August edition for lay-out and design and your September issue for communication. You could also decide that the same issue of the publication should be used for all three judging categories. Remember, we need one copy for every judging category and each of them should have an entry form attached to it, marked clearly: Communication, Writing or Design and Photography.

We need:

Four copies of each publication entered with an entry form attached to each. There are three different judges (communication, writing and design) and each must receive a copy of your publication. The fourth copy will be used for an exhibition of this year’s entries at the next award ceremony.

Exceptions:

  • Only two copies of annual reports and once-off publications. An entry form should be attached to each.
  • If you want to enter a DVD/video, two copies, accompanied by an entry form, must be sent to the competition address.
  • If you want to submit an electronic newsletter or and intranet newsletter, save it on a CD and submit the CD, together with the entry form. We also need two copies of each electronic publication.
  • Website: Submit the URL (website address).

Step 4

Print out copies of the entry form and attach to each and every publication you enter.

Step 5

Remember that you can only enter publications that appeared for June 2012 to July 2013.

Judging criteria

All the publications will be assessed and moderated by experts in the various fields. Note that the judges will definitely consider your available budget and the professional support you receive in producing the publication.

Writing
Judges will assess your writing in terms of language usage, the originality, punch and applicability of headlines, captions and introductions. Due consideration will also be given to general style, identity and structure of articles.

Communication
The judges will ask the following questions, amongst others:

  • What is the general image of the organization, as portrayed by the publication?
  • Do the articles and reports reflect the publication's objectives?
  • How original, appropriate and newsworthy are the articles?
  • Is there a balance between long and short, light-hearted and serious articles and corporate and other news?
  • Does the publication consider the target audience in terms of language, culture and educational background?
  • Does the publication invite reader participation?
  • Annual reports and once-offs will be judged according to specific communication criteria applicable to these media.

 

Design and page layout
The following factors, amongst others, will be taken into account:

  • Are the major design elements used to attract the reader into the article?
  • Does the layout contribute to the understanding of the article and its message?
  • Does the layout and design make the page more accessible?
  • How does the layout artist use contrast, emphasis, balance, repetition, proportion, typeface and colour?
  • Does the publication have an original style and personality?

 

Photography
The judges will consider the following:

  • General technical quality of photographs
  • Creative use of photographs
  • Composition
  • Cropping
  • Do the photographs contribute to the messages?

 

Electronic publications
Electronic publications will also be judged in terms of writing, layout (including the use of graphics and photographs) and communication. The user-friendliness of the publication and its navigation will also be assessed.

Corporate websites
Corporate websites will be judged on general image, user-friendliness, navigation, regular updates of information, knowledge of the target audience and writing.

DVD newsletters and one-offs
These will be assessed in terms of script, technical qualities such as photography, lighting, editing, sound, presentation and communication.

Annual reports and one-offs
These will be assessed on applicability of language, layout and communication for the publics who are addressed. In annual reports, the reporting of financial results will also receive special attention

About the competition

This competition is aimed at finding South Africa’s Corporate Editor of the Year. Whereas the awards for the Publication Competition go to the best publications, DVDs and electronic publications, this award is made to a person. To qualify for the award you must also enter your publication(s) in the Publication Competition.

The entries for Corporate Editor of the Year will be judges by a distinguished panel consisting of judges and moderators who also judge the Publication Competition. They select a number of finalists who will each receive a merit certificate. They will also appoint the winner.

Please note that entering for the Editor of the Year competition is regarded as another entry for the competition. You therefore have to pay the normal competition fee to enter.

Who may enter?
Editors employed by organisations or associations may enter. Consultants, publishing publications on behalf of organisations, therefore do not qualify.

The winner will be that editor who has made the best use of the resources at his/her disposal in order to communicate the company’s objectives to internal or external target audiences. The quality of the publication(s) will be judged after thorough consideration of the editor’s application of his/her budget and available manpower, as well as the frequency and scope of the publications. Tasks other than corporate journalism which are the editor’s responsibility will also be taken into consideration.

The Corporate Editor of the Year has to be someone employers would like to appoint to their communications team. More than one editor from the same company are allowed to enter, provided that they are not responsible for the same publication.

The panel of judges with broad experience of the industry will examine the communication role of each entry. Factors such as workload, organisational skills, initiative and the managing of a budget will be examined. Participants must therefore furnish all possible information, motivations and recommendations. Editors entering the competition must submit:

  • an entry form (the same form used to enter for the Publication Competition)
  • entry fee to enter the competition
  • a separate document (e-mailed, faxed or mailed) providing the following information:

1. Name of editor, title and designation, name of organisation

2. Name and telephone number of immediate head

3. A breakdown of all publications/videos in which the editor is involved.

  • Number of issues per year
  • Average number of pages per issue
  • Budget per issue (provide detailed information including cost of distribution).
  • Number of editorial staff (editor included)
  • Briefly describe each staff member’s involvement. Describe who is responsible for research, collection of information, writing, language editing, photography, design and lay-out.
  • The editor’s duties
  • The publication’s aims
  • The target readership
  • The role of the publication in the organisation’s communication programme. Also refer to the value and support management accords your publication
  • Reader’s reaction to the publication.
  • Briefly describe the other duties of the editor.

Categories

Entries will be divided into categories. These are guidelines only. If you are unsure in which category you should enter, please contact the competition co-ordinators. Should your publication be entered in the wrong category, the competition co-ordinators will place it in the right category after discussing the matter with you.

  • External newsletters
  • Internal magazines

  • Electronic newsletters (Publications through which you communicate with internal or external publics. These could also be versions of your corporate publication presented electronically).

  • DVD newsletters and corporate DVDs (regular and once-off)
  • Annual reports
  • Once-off or special occasion publications
  • Best publication with limited resources (with reference to budget and manpower)
  • Most improved publication since the previous competition
  • Editor of the Year
